ExecReps.ai is operated by Product Coalition, Inc., a Delaware corporation. Product Coalition, Inc. is the data controller responsible for your personal information.
Information We Collect
Personal Information
We collect information you provide directly to us when you create an account, complete a workout, or contact us. This may include your name, email address, and profile information.
Voice Recordings and Acoustic Data
When you complete voice-based workouts, we collect and process your voice recordings to provide comprehensive feedback:
- Audio Files: Your voice recordings are stored securely with authenticated access controls and retained until you choose to delete them. Audio files are used to generate transcripts and perform acoustic analysis.
- Transcripts: Text transcriptions of your voice recordings are retained permanently for the purpose of providing feedback and maintaining your training history.
- Acoustic Metrics: Detailed acoustic analysis data including speaking rate, filler word counts, pause durations, speech clarity scores, and vocal confidence metrics. This data is stored to provide delivery feedback.
- Assessment Scores: Content scores, delivery scores, and overall fused scores based on your submissions, along with category-specific feedback and improvement recommendations.
Career Pathing Data
If you use our career pathing features, we collect your job title and career goals. This data is used with the O*NET career database (maintained by the U.S. Department of Labor) to provide personalized workout recommendations.
Bookmarked Workouts
We store your bookmarked and saved workouts to help you build a personalized practice library.
Calendar Integration Data
If you connect your calendar, we access calendar event data solely to help you schedule practice sessions. Calendar data is only accessed when you explicitly enable this integration and can be disconnected at any time.
Usage Data
We automatically collect certain information about your device and how you interact with our platform, including IP address, browser type, pages visited, and time spent on our service.
Notification Preferences
If you enable push notifications, we collect and store your browser's push subscription endpoint and encryption keys. You can disable push notifications at any time from your settings, which will delete all associated push subscription data from our servers.
Personalization Engine
ExecReps uses a personalization engine to tailor workout recommendations to your goals, role, and communication style. This engine analyzes your past submissions, scores, and preferences to surface the most relevant practice scenarios.
You can control personalization through your account settings. Disabling personalization will result in generic workout recommendations.

Domain-Based Team Matching
When you sign up with a work email address, we may use your email domain to suggest or match you with your organization's team on ExecReps. This helps streamline team onboarding and ensures you can access your team's workouts and analytics.
You can always decline a team match or leave a team through your account settings.
Email Address Changes
You can update your email address through your account settings. When you change your email, we send a verification link to the new address. Your old email address is removed from our system once the new address is verified.
Information Sharing and Third-Party Services
We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except as described in this policy. We share information with trusted service providers who assist us in operating our platform.
We use trusted third-party services to operate ExecReps. See our Sub-Processors page for a complete list of services that may process your data, including what data they access and where they operate.
These service providers are contractually obligated to protect your information and use it only for the purposes we specify. We carefully vet all third-party processors to ensure they maintain appropriate security standards.
We also use Aikido Security for continuous security scanning of our codebase. Aikido has read-only access to our source code via GitHub and does not process any user data.
Cookies and Similar Technologies
We use cookies and similar technologies to provide and improve our services:
- Authentication Cookies: Secure, HTTP-only cookies to manage your login session. These cookies are essential for the platform to function and cannot be disabled.
- Cookie Consent Management: We use a cookie consent management tool to manage your consent preferences and comply with privacy regulations.
- Analytics Cookies: Anonymized performance and usage data to help us improve the platform. These do not identify you personally.
You can manage cookie preferences through your browser settings or our cookie consent banner. Note that disabling essential authentication cookies will prevent you from using the platform.

Audio files are stored with authenticated access controls and time-limited signed URLs. All data is encrypted at rest using AES-256 encryption.
No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
Your Rights and Data Control
You have comprehensive rights regarding your personal information and content:
- Access: You can access all your personal information, voice recordings, transcripts, and assessment results through your account dashboard at any time.
- Update: You can update your profile information, email address, account settings, and preferences at any time through your account settings.
- Delete Audio Recordings: You can delete individual audio recordings by navigating to your completed workouts and selecting the delete option. Deletion is permanent and cannot be undone.
- Delete Account: You can request full account deletion, which will permanently remove all your personal information, voice recordings, transcripts, and assessment results from our systems. To request account deletion, contact us at privacy@execreps.ai.
- Notification Controls: You can manage your notification preferences, including push notifications and email communications, through your account settings at any time.
- Data Portability: You can request a copy of your data in a machine-readable format by contacting us at privacy@execreps.ai.
To exercise any of these rights, please contact us using the information provided below. We will respond to your request within 30 days.
California Consumer Privacy Act (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act:
- Right to Know: You have the right to request that we disclose what personal information we collect, use, and share about you.
- Right to Delete: You have the right to request deletion of your personal information, subject to certain exceptions.
- Right to Opt-Out of Sale: We do not sell your personal information. We never have and never will.
- Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights. You will receive equal service and pricing regardless of whether you exercise your privacy rights.
To exercise your CCPA rights, contact us at privacy@execreps.ai. We will respond to verifiable consumer requests within 45 days. If we need additional time, we will inform you of the reason and extension period in writing.
Data Retention
We retain different types of data for varying periods based on their purpose:
- Audio Recordings: Retained until you choose to delete them through your account settings. You have full control over audio file retention.
- Transcripts and Assessment Results: Retained permanently to maintain your training history and progress tracking, unless you request full account deletion.
- Acoustic Metrics: Retained permanently to provide historical delivery feedback and track improvement over time, unless you request full account deletion.
- Account Information: Retained for the duration of your account plus 90 days after account closure for legal and operational purposes.
- Usage Data: Retained for up to 2 years for analytics and service improvement purposes.
Upon full account deletion, all data is permanently removed from our active systems within 30 days. Backup copies may persist for up to 90 days in our disaster recovery systems before being permanently deleted.
International Data Transfers
Your information, including voice recordings, may be transferred to and processed in countries other than your country of residence. By using our services, you consent to the transfer of your information to the United States and other countries where our service providers operate.
We ensure that all international data transfers are protected by appropriate safeguards, including standard contractual clauses and data processing agreements with our service providers.
