Terms of Service

To access certain features of our service, you must create an account. You are responsible for:

• Maintaining the confidentiality of your account credentials
• All activities that occur under your account
• Providing accurate and complete information
• Notifying us immediately of any unauthorized use

You agree not to:

• Use the service for any unlawful purpose or in violation of any applicable laws
• Upload or transmit harmful, offensive, or inappropriate content
• Attempt to gain unauthorized access to our systems or other users' accounts
• Interfere with or disrupt the service or servers
• Use automated systems to access the service without permission

When you submit voice responses to our platform, your audio recording is processed to provide comprehensive feedback on both content and delivery:

• Audio Storage: Your voice recordings are securely stored using Vercel Blob storage to enable acoustic analysis and quality assessment. Audio files are retained until you choose to delete them through your account settings.
• Transcription: Audio is transcribed using OpenAI's Whisper API to convert your speech to text for content analysis.
• Acoustic Analysis: Audio is analyzed using AssemblyAI's acoustic analysis service to evaluate delivery metrics including speaking rate, clarity, filler word usage, and vocal confidence. This analysis helps provide feedback on how you communicate, not just what you say.
• Third-Party Processing: Your audio recordings are processed by third-party service providers (OpenAI for transcription, AssemblyAI for acoustic analysis) to deliver our services. These providers process your audio in accordance with their respective privacy policies and data processing agreements.
• Content License: By submitting voice recordings, transcripts, and other content, you grant ExecReps.ai a license to use, process, store, and analyze this content for the purpose of providing our services, including generating feedback and assessments. You retain ownership of your content.
• Data Deletion: You may delete your audio recordings at any time by navigating to your completed workouts and selecting the option to remove audio files. Deletion is permanent and cannot be undone. Transcripts and assessment results will be retained for your records unless you request full account deletion.

ExecReps.ai provides AI-powered assessments of your voice submissions using a dual-scoring system:

• Content Score: Evaluates what you say based on the workout's rubric criteria, assessed using OpenAI's GPT-4 language model.
• Delivery Score: Evaluates how you say it based on acoustic analysis of speaking rate, clarity, fluency, and vocal confidence, assessed using AssemblyAI's acoustic analysis technology.
• Overall Score: A weighted combination of content and delivery scores. The default weighting is 80% content and 20% delivery, though these weights may be adjusted by platform administrators to optimize assessment accuracy.

All assessments are generated using artificial intelligence and should be considered as training feedback, not definitive evaluations. While we strive for accuracy, AI-generated assessments may contain errors or biases. You are encouraged to use your professional judgment when interpreting feedback.

ExecReps.ai offers both individual and team account options. Important policies regarding team accounts:

• Account Exclusivity: Each email address can only be associated with either an individual account OR a team account, never both simultaneously.
• Team Creation: When you create a team account, you permanently transition from your individual account to a team-based account. Your individual credits will be forfeited and cannot be recovered. Unexpired workout purchases will be transferred to the team account.
• Joining Teams: When you accept an invitation to join a team, you permanently transition from your individual account to a team-based account. Your individual credits will be forfeited, any active individual subscription will be cancelled (with pro-rated refund where applicable), and you will no longer have access to your individual account with that email address. Unexpired workout purchases will be transferred to the team account.
• Team Membership: Users can only be a member of one team at a time. To join a different team, you must first leave your current team.
• Team Ownership: Team owners cannot join other teams unless they first transfer ownership of their team to another member and then leave the team.
• Leaving Teams: When you leave a team (voluntarily or by removal), you will receive 10 welcome credits to restart your individual account. To use an individual account again after leaving a team, you may need to use a different email address.
